Online Data Backup for Your Computer Files

Backing up your data is very important these days. We have so many computer files on our hard drives are in danger to be lost if we don't back them up properly. Doesn't matter if you're using Win, Mac or Linux: all types of systems are in danger of hard drive failure and data loss. This can be prevented by data storage online. A remote backup service transfers all your files into the cloud with a little piece of software that you need to download previously. This is called the "software client". Those clients will also take care of file and content encryption so that your disk data is secured offsite.

What Are Online Backup Services?

Online backup and data storage services like Backblaze, Crashplan, Wuala, SkyDrive or Mozy take care of your file backup management. You no longer have to manually transfer files from your computer or laptop to an external hard drive or NAS. Instead you signup for one of those cloud storage and backup services by giving your email and a secure password and select the available files on your hard drive for backup. Those files can be media files such as photos, music and videos or documents such as presentations, Excel spreadsheets or Word files. Generally, there are three different types of data backup and online storage services :

  • Personal online backup services
  • Small to Medium Business data backup services
  • Online backup for enterprise customers

Those categories are the same in all countries. Doesn't matter if your looking for data backup in the USA or UK. However, most online data backup services differ in the amount of available features they offer to their clients. So you need to choose the storage firm that offers the most features that your require for your data to be stored there. Wikipedia has a great comparison chart that might be useful to you. 

What Are Some Features of Cloud Backup Services?

First, there are cloud storage services like Dropbox, SkyDrive or Google Drive. Those services are generally not suited for data protection. They are quite secure but lack local encryption of your files before they are ready for transfer. Especially for small businesses or SQL databases that is a crucial feature. That's why you might prefer online backup servicesinstead: 

Unlimited online data backup

Many online data backup services offer unlimited storage these days. How is that possible? Of course no firm can offer true unlimited file storage. It just not possible. Can you imagine unlimited terabyte of data? No. It is just an easy marketing trick to get you signed up. Those services are not unlimited but they don't limit your storage space. Unlimited services are Backblaze, Crashplan, Livedrive, JustCloud, Opendrive, Carbonite and a couple of others. ElephantDrive is not unlimited but might be worth a look. Most of them offer a free trial so that you can join for free and try their portal. Unlimited services don't put extra strain on your hardware, they work just as well as limited online storage services. 

Continuous data backup

If you join a cloud backup service for your computer files you might want to use one that offers continuous data backup. That means whenever you edit files on your systems those changes are immediately transferred offsite so that you never lose a file even if your hardware fails. Depending on the plans you choose you can disable or enable continuous backup in the software preferences. 

Remote backups in the cloud

This might seem an obvious feature but it is worth mentioning here. Doesn't matter if you sign up for one month, a year or two years each and every data backup plan includes remote backups in the cloud. That means all your data is stored offsite, away from your home or office. Some services can also take care of onsite backups such as Crashplan. Remote backup services got better from 2012 to 2013 and better support local backups and sometimes even file sync. That also means that there are quite a few new service providers that want to keep your data stored in their data centers in the USA or Europe. 

Incremental backups

Online cloud backup providers may offer something called incremental backups. That means only the changes portion of a file will be backed up, thus saving time and bandwidth. That is especially important when backing up Outlook PST files that can get very large and would clutter your network speed. Every incremental change should be saved as a separate file version. ADrive and SugarSync are one of those available services that will take care of it. 

Data Storage for iOS and Android 

Some online storage services also provide you with iOS and Android backups. Your mobile phone stores a backup on your hard drive and then you can use the backup software of your provider to backup that file. SOS Online Backup even provides you with social media backup that is free to use. While social media is already cloud storage it can never hurt to have a secondary backup solution in place. 

Hybrid and physical cloud backup

Often times you can choose between a pure physical data backup solution or go for a hybrid cloud backup plan. While those hybrid online backup services most likely will not offer any file sync, you can upload your data into the cloud and store it locally. That has the advantage that the initial backup process in completed fast and secure, ideally with local file encryption. Providers like Crashplan offer that feature for free. That makes you able to retrieve your files both ways: from your local storage facility (a NAS or external hard drive) or from the company's server where your data is stored. 

Advantages of an online backup service

There are couple of advantages when using an online data backup service. Here are some of them that might help you choose the right plan for your needs:

  • Your files are available everywhere
  • You can access your files on the go
  • You files are kept secure (the service should take care about encryption)
  • Online storage providers work cross platform (Win, Mac, Linux, iOS and Android)
  • Unlimited backup services don't care about the size of your backups or files
  • Online backup can be very cheap or even free
  • Small businesses benefit from a higher level of security
  • Some services even offer file sync

Disadvantages of online data backup plans

Of course the offsite storage world is not only shiny. There are some disadvantages that you need to be aware of before making your final decision, especially when you think of signing up for one year or two years for maximum savings. 

  • You don't have full control over what happens to your data
  • File might not be retrieved instantaneously when you need them
  • Enterprise backup can get very expensive 
  • Some services charge premiums for additional speed or encryption
  • You commit to the cloud
  • Server backup providers are still hard to find
  • Some services limit either your bandwidth, file size or storage capacity
